OVERVIEW
A recurring Check is a sequence of planned Checks that occur at regular intervals over a set period of time and are assigned to a particular User (Inspector). (Note: For one-off Planned Checks, see this article).
The recurring Check is created by a Check Web Portal User and each instance in the sequence that is due within the following seven days is automatically pushed to the assigned User's device via the Check Mobile App.
An important note: Where a Check Template is updated after a one-off or recurring planned Check has been created and you require the updated Template to be applied, these existing Checks will need to be deleted and re-issued.
This article explains how the recurring Check is created.
PROCEDURE
- Select Check > Manage Recurring Checks from the Menu bar:
Result: The Manage Recurring Checks Register is displayed. - Click Plan Recurring Check
Result: The Plan Recurring Check screen is displayed which indicates the six steps involved in creating the Plan: - In Step 1 - Template, locate the required Check Template and click Select:
- In Step 2 - User, locate the required User (Inspector) and click Select:
- In Step 3 - Details, enter the Title, Type and Description for the recurring Check, then select the recurring sequence for the Check. The available options are Week days, Daily, Weekly, Monthly or Yearly. Depending on the selection, additional fields will appear to select the precise details for the recurrance. (Note that the maximum length of any recurring Event is 2 years.)
Then, click Next: - In Step 4 - Accountable, locate the person accountable for the recurring Check and click Select:
- In Step 5 - Site, locate the Site where the recurring Check is to take place, and click Select:
- In Step 6 - Review, the selections made in the previous steps are summarised. Review the selections made. To make any changes, click Edit to return to the relevant step. Once all details are correct, click Save:
Result:- Instances of the recurring Check that will take place within the next seven days will be pushed to the assigned User's Check Mobile App
- The assigned User and Accountable Party will be notified via e-mail (provided their email addresses are recorded)
- Each instance of the recurring planned Check will be visible in the Register section of Check Web Portal
- Each Check in the sequence will be deployed to the User's device with whichever version of the selected Check Template was current at the time the planned Check was saved. This means that should you update a Check Template and wish for the new version to apply to any planned but not-yet-completed Checks, you will need to delete the existing sequence and re-enter it.
- Instances of the recurring Check that will take place within the next seven days will be pushed to the assigned User's Check Mobile App
