OVERVIEW
After the initial creation of a Check Template, it may become necessary to amend it (e.g. a new Item needs to be added). Check Web Portal supports the ability to edit an existing Check Template, either in Draft or Published state, and then save those changes in either Draft or Published state.
You will learn how to:
AMEND A CHECK TEMPLATE
- Select Check > Templates from the Menu Bar:
- Locate the Check Template in the Templates Register, then click Actions, then Edit:
- Make any required changes to the details that appear in the Update Template screen, then click Update:
Note: Any changes will be highlighted with a light green background.
Result: The Add/Edit Template Items screen is displayed. - Make any required changes to Items and/or Sections. You may:
- Add an Item and/or Section
- Edit an existing Item and/or Section
- Delete an existing Item and/or Section
- Note: These procedures are explained in detail in the article Creating Check Templates
- Make any required changes to pre-defined responses for an Item in the Check Template by clicking Actions, followed by Responses. You may:
- Add a pre-defined response. This procedure is explained in detail in the article Creating Check Templates
- Rename an existing Response by clicking Rename, making the required change, then clicking Save:
Click the Cascade check-box to apply the change to all other instances of the Response where it is applied to other Items in the Check Template. - Remove an existing Response from an individual Item by clicking Remove From Item:
- Remove an existing Response from all Items in the Check Template by clicking Remove From Template:
- Add a pre-defined response. This procedure is explained in detail in the article Creating Check Templates
Once all required changes are made, the updated Check Template must be either:
- Saved as Draft, meaning the updated Check Template and its associated Items and Sections are saved but is not available to be used in either planned or ad-hoc inspections
- or Published, meaning the updated Check Template and its associated Items and Sections are available to be used in either planned or ad-hoc inspections
To Save as Draft:
- Click the Draft button:
Result: The Version Number of the Template is increased by one, and is labelled with Draft. The Check Template is not available for use:
To Publish:
- Click the Publish button:
Result: The Version Number of the Template is increased by one. The Check Template is available for use:
Result:
- The updated Check Template will now be 'pushed' to Check App Users automatically who may immediately use it for ad-hoc Checks
- Planned Checks will use the version of the Check Template that was current at the time the Check was planned. Therefore:
- Any Checks that are planned after the updated Check Template was published will use the new Template
- Any Checks that were planned before the updated Check Template was published will use the old Check Template
